Why design is not the hard part

Today's episode is a little different. It's not just a chat. It's a proper behind the scenes on the systems that hold my entire freelance life together. I didn't create the playbook test because I'm naturally organized or love systems. I had to teach myself to love them. I created it because my business was all over the place. And honestly, I wish someone had given me this breakdown when I started. It would have saved me years of stress, late nights, and random weird documents floating around on my desktop. But also, in all honesty, we did not have cool platforms like Notion, which we'll be going through today. I'm walking you through the designer's playbook desk, not as a Notion template, not as a product, but as a creative life support system. And even if you never buy it, this masterclass will show you exactly what structure every designer needs to run a sustainable business without burning out. Let me start with this. Design is not the hard part. The hard part is everything wrapped around it. It's the emails, tracing feedback, messy timelines, clients forgetting what they said, quotes that take you 40 minutes when they should take you five, invoices that feel like admin torture, and then life happening in between all of it. Most designers are not drowning because of design. They're drowning because they don't have a system that supports the human behind the design. I learned this the hard way. I tried running my business from Word documents, Excel sheets, PDFs, WhatsApp screenshots, random notebooks, and my brain, which is the worst storage device ever, by the way. And yes, I launched the first version of the playbook test in 2024 already. People bought it, it was good, but something was off, something didn't feel right to me. So I went back and rebuilt everything from the ground up. For one full year I used my own messy tools to test what I truly needed. Not what looked pretty, not what appeared polished, what actually works for a real creative life. And that became the new playbook desk. A system that feels like a partner, not another thing on your to-do list. So before we get into the desk itself, let me set the scene. When you buy the desk, you don't just receive a download link. You land on a warm welcome page with a message from me, a link to your desk, a link to your client hub, and also Canva templates. And I hope it will give you a sense of okay, I'm guided here, I'm not alone. This matters because so many creatives feel overwhelmed the minute they get a new tool. They freeze and they overthink. This welcome space removes all of it. It gives you clarity and calm before you even open the desk. Now imagine opening your laptop in the morning and landing on a page that instantly gives you peace of mind. That's the desk home. Picture this. Everything you need for your business and your life in one clean, calm screen. You'll find your weekly overview, your active projects, your finances, your client section, personal planning, your creative brain dumped space and tools. No tabs, no apps, no chaos. This isn't about aesthetics, although it looks good. It's about reducing cognitive load so your creativity can breathe. This is the central base, the home of your business. Now I'm obsessed with this part because it changes everything about how clients work with you. Most designers don't have a proper onboarding process. It's emails, attachments, scattered instructions. This page fixes that. So if you're not watching this on YouTube, imagine opening a clean page that says what to expect, yes, what's next? Clients crave clarity. And when you give that to them in a warm, kind, human way, not strict or corporate, the whole partnership kind of shifts. This page tells your client you're safe, you're guided, you're in good hands, and trust me, when clients feel safe, everything runs smoother. Now the client hub is your entire client process organized. Now let me walk you through the client hub because this is honestly where so many designers fail. Not because they're bad designers, but because they don't have structure. Inside the client hub, your client can find everything. Onboarding, briefing, your process, timelines, feedback section, approvals, deliverables, your files, payments, and what's next. It's all stored in one place. This alone will make you look more professional without doing more work. And this alone will make your client trust you faster than any logo ever could. Because stress lives in confusion and partnerships lives in clarity. So because you're human and not a machine, this is where the desk becomes different from anything else out there. You get sections for your reflection, the personal things in your life as well. Resets, weekly planning, goals, emotional space, mental load, what to eat for dinner. You can plan that out in your personal section. A freelancer is a human first, and a designer second. If your mind and body feels overwhelmed, your creativity shuts down. This part of the desk supports your humanity, not just deadlines. Now when it comes to your project admin, this is where the chaos becomes clear. Every project has timelines, deliverables, tasks, notes, references, feedback, next steps. Instead of storing this across 10 different places, you now have one clear, logical, calm space for each project. This section almost always makes designers say, why didn't I have this sooner? Now there are quotes in your invoices, this system that saved my sanity and exactly how I did my finances. So I have to be honest, this is what is the hardest part of the freelance journey for us all. Quoting used to take ages. Invoices stressed me out, still do sometimes. Numbers got messy, the emotional weight around money was heavy. So I rebuilt the system for real brains, not accountant brains, but I did ask an accountant to guide me. Inside you'll find a clean quoting system, quoting templates that I made for you in Canva. There's a quoting template and an invoice template, an invoice structure that doesn't break you, and also your invoice tracker, pricing guidance, and when to go over from manually doing your invoices and your quotes to going over to a professional system when that's the right time. You shouldn't spend half your day fixing admin. You shouldn't feel confused about pricing. Let me end with this. The playbook desk is not a template. It is not aesthetic notion, it is not another tool you'll forget about. It's a system born from 22 years of industry experience, late nights, tears, frustrations, celebrations, learning, and rebuilding everything I wish I had when I started.
